The Assets module tracks every piece of hospital property—from MRI machines and ventilators to beds, computers, and furniture. It manages the entire lifecycle: procurement, tagging, maintenance, depreciation, and disposal.

What is Asset Management?

Asset Management maintains a complete inventory of all hospital assets. It records asset details (name, category, location, purchase date, cost), assigns tracking tags (physical labels or barcodes), schedules maintenance, tracks depreciation for accounting, and manages disposal when assets are sold or scrapped. Lists and creates are clinical Branch / Working-in campus scoped (not HR OrgUnit).

Assets are categorized into Clinical (medical equipment), IT (computers, servers), Administrative (furniture, fixtures), and Infrastructure (building systems).

Why Does It Exist?

  • → Lost assets — Without tracking, expensive equipment gets misplaced or stolen
  • → Missed maintenance — Critical equipment (ventilators, defibrillators) needs regular certification
  • → Poor financial data — Hospitals need accurate asset registers for insurance and accounting
  • → Procurement waste — Without knowing what you have, you might buy duplicates

Asset Register

What it is

A complete catalog of every asset with details.

Why it exists

You can't manage what you don't know you have.

How it works

Each asset has name, category, model, serial number, location, purchase date, cost, current value, and status (active, maintenance, disposed).

Tagging & Tracking

What it is

Assign unique physical tags to assets.

Why it exists

Enables location tracking and prevents theft or loss.

How it works

Tags can be barcodes or RFID. Scanning a tag shows the asset's current location and status in the registry (`assets:view`). `assets:audit` only targets staff for create/update change notifications.

Maintenance Scheduling

What it is

Schedule and track maintenance for each asset.

Why it exists

Critical equipment needs regular certification (e.g., ventilator calibration every 6 months).

How it works

Maintenance intervals can be time-based or usage-based. Due maintenance creates work orders. Expired certification locks the asset from clinical use.

Depreciation Tracking

What it is

Calculate and record asset value depreciation over time.

Why it exists

Required for accurate financial reporting and insurance valuation.

How it works

Depreciation methods (straight-line, declining balance) are configured per asset category. Monthly depreciation is calculated automatically.

Lifecycle Management

What it is

Track assets from procurement through disposal.

Why it exists

Provides complete audit trail for regulatory compliance.

How it works

Each stage (ordered, received, active, maintenance, disposed) is recorded with date and responsible person. Disposal requires authorization.

The asset registry uses a hierarchical mapping system linking equipment to specific physical nodes (OT Room 1) and parent departments.
